Office Manager/Administrative Coordinator

Job Summary

  1. Open Office in AM. Pull charts and set up for sessions
  2. Schedule a New Patient appointment and obtain all information required
  3. Chart preparation
  4. Schedule follow up appointments
  5. Pre-Register a patient by pulling the patients chart and verifying demographics, insurance info, any needed referrals.
  6. File in patient records
  7. Demonstrate proper telephone etiquette and processes to retrieve and transfer calls and messages
  8.  Attend staff meetings as scheduled
  9. Documents appropriately in patient’s charts any appointments missed and reasoning for missing appointments
  10. Maintain office area in a clean and orderly fashion
  11. Maintains waiting area in good supply of reading material
  12. Interact with members of the Health Care Team
  13. Maintain patient care areas so they are orderly and functional
  14. Identify that the proper account number is being used every visit
  15. Demonstrates proper filing of charts
  16.  Maintain and abide by all HIPPA regulations
  17. Other duties as assigned

Required Competencies

  1. Knowledge of office administration including scheduling, maintaining documentation.
  2. Extensive knowledge of medical records billing functions.
  3. Knowledge of community resources.
  4. Ability to communicate effectively both orally and in writing.
  5. Ability to interact effectively in a team setting with other behavioral health professionals.
  6. Familiarity with various ethnic and cultural groups.
  7. Ability to coordinate multiple activities and prioritize.

 

Minimum Qualifications:

  • An associate degree in business or comparable work experience.
  • Must have a current Maryland driver’s license, automobile liability insurance and willingness to provide own transportation in the course of performing job duties.
